About this policy
At Sublimation Designs UK, we are committed to protecting your privacy. Newsletter subscriptions and optional advertising tracking have separate consent choices. We send newsletters only when you subscribe; Meta advertising and measurement are explained below. When you make a purchase through our website, your information may also be stored or processed by third-party services necessary for completing your transaction.
Information Collection
We receive the details you provide when you register, place an order, contact us, leave a review or subscribe to our newsletter. These can include your name, email address, billing details, account details and correspondence. Our shop also holds order, payment-status, download and loyalty-reward records. Payment providers process payment information according to the payment method you choose.
Mailing List
Our newsletter is optional. Registering an account or making a purchase does not by itself subscribe you. When you opt in, we use your email address, name where provided, and subscription record to send one or two newsletters a month, including a monthly free design set, new designs and offers. Website sign-ups receive a confirmation email. We manage subscriptions through FluentCRM on our website.
You can withdraw consent at any time using the unsubscribe link in a newsletter or by emailing hello@sublimationdesigns.uk. Unsubscribing stops marketing emails; essential order, account and support messages may still be sent.
Third-Party Services
We use service providers to operate the shop, host the website, deliver emails and downloads, and process payments. These include Web N Host for website hosting and outgoing email, and Dropbox for downloadable files. Our newsletter records are managed through FluentCRM within our WordPress website. The services below process information when you use the relevant payment method or shop through the named platform:
- PayPal: Your payment information may be stored by PayPal in accordance with their privacy policy. Learn more about PayPal’s Privacy Policy.
- Stripe: If you pay via Stripe, your payment data is processed and stored by Stripe. Learn more about Stripe’s Privacy Policy.
- Etsy and PayHip: If you make purchases through our Etsy or PayHip stores, your data will be managed according to their respective privacy policies. Etsy’s Privacy Policy, PayHip’s Privacy Policy.
- WooPayments (WooCommerce): Payments made through WooPayments, including those via Clearpay and Klarna, are processed in accordance with their privacy policies. For more details, visit WooCommerce’s Privacy Policy, Clearpay’s Privacy Policy, and Klarna’s Privacy Policy.
- These providers publish their own privacy notices, linked above.
Data Usage
- We send newsletters only when you opt into our mailing list. Optional Meta advertising and measurement use a separate Marketing choice in Cookie settings.
- We use data to manage accounts, orders, downloads, loyalty rewards, customer support and website security. We also use it for the newsletter when you choose to subscribe.
- We do not sell your personal information. We share information with service providers where needed to operate these services, and where required by law.
Why we use your information
Orders, downloads and related account services are processed to fulfil our contract with you. Accounting and other legally required records are processed to meet legal obligations. Support, security and prevention of misuse serve our legitimate interests in running and protecting the shop. Newsletter marketing and optional advertising tracking rely on your consent, requested separately. Simply visiting this website is not consent to marketing.
We need the account and order details requested at checkout to supply your purchase. Newsletter sign-up is optional.
Contact Us
If you have any questions about this Privacy Policy or how your information is handled, please contact us.
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Product-review reminders
For new paid purchases, we send one product-review reminder seven days after payment, using your name, order details and email address. It links to the designs you purchased so you can share an honest review on our website. We skip cancelled or refunded orders and products already reviewed or awaiting review approval. You can stop future product-review reminders using the link in the email. This preference is separate from your newsletter subscription and does not affect your orders or download access.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies, statistics and advertising
Use the Cookie settings button to accept or reject optional cookies, choose categories or change your choice later. Essential cookies support services such as sign-in and your basket. Statistics and Marketing are separate optional categories in our consent banner. Marketing includes Meta advertising and measuring the results of our Facebook and Instagram adverts. Rejecting optional cookies does not unsubscribe you from the newsletter; use the unsubscribe link in a newsletter for that.
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
Meta advertising and purchase measurement
We use Meta for WooCommerce to connect our shop with Meta, the provider of Facebook and Instagram. The integration includes the Meta Pixel and Conversions API, which send website activity from your browser and our server to Meta to measure advert results, improve delivery and show relevant advertising. Our legal basis for optional advertising tracking and the associated sharing is your consent, through the Marketing category in Cookie settings. This is separate from signing up to our newsletter.
Information can include pages and products viewed, additions to your basket, checkout and purchase events, product identifiers, order value and currency, event times, IP address, browser and device information, and advertising or cookie identifiers. Where matching features are enabled, contact details such as an email address may be converted into a coded value (hashed) to help Meta match events to an account. Hashing does not make this information anonymous. This advertising connection does not need your card number, card security code or account password.
Meta may associate these events with your Facebook or Instagram account and use them for measurement, personalisation and advertising under its own privacy policy. Where Meta’s terms provide for joint responsibility, we and Meta are jointly responsible for the collection and transmission covered by those terms. Meta is responsible for its subsequent processing. Read Meta’s privacy policy, Meta’s cookie policy and Meta’s information about joint processing for its purposes, retention, international transfers and privacy rights.
You can decline optional advertising tracking, or withdraw your consent for future tracking, using Cookie settings and switching Marketing off. This does not unsubscribe you from our newsletter or prevent you from shopping. Withdrawal does not undo processing that took place before you changed your choice. Contact us using the details above about your rights, or use the privacy controls described by Meta.
Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.
Who we share your data with
Authorised administrators can access information needed to manage your account, orders and support requests. Hosting, email, payment and other service providers process information needed for their services. Our Meta advertising connection also shares information as described in the Meta section below; this is separate from newsletter subscription. Provider privacy notices linked above explain their processing.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.
We manually review and delete unpaid orders, usually within 30 days.
Customer accounts and completed order records support your purchase history, downloads, loyalty rewards and customer service. These records are not included in our routine removal of unpaid orders. Retention depends on the continuing account or service need, accounting obligations and any unresolved dispute.
FluentSMTP email-delivery logs are configured to be deleted after 14 days. This does not delete order records, correspondence in our mailbox or separate newsletter records.
Newsletter records include your subscription status. Unsubscribing changes that status rather than deleting your customer account; a record of your opt-out helps prevent further marketing. You can ask us about deletion and retention using the contact details above.
You can update your account details in My Account. Contact us to request account or personal-data deletion. Removing your account or download permissions can remove access to purchased downloads, so save your files first. Records required by law may still need to be retained.
What rights you have over your data
Depending on the circumstances, you can request access, correction, erasure, restriction or a portable copy of your personal data. You can withdraw consent without affecting earlier lawful processing.
You can object to direct marketing at any time. You can also object to processing based on legitimate interests.
Email hello@sublimationdesigns.uk to exercise your rights. We may need to verify your identity. Some requests are subject to legal exceptions.
You can complain to the Information Commissioner’s Office (ICO) if you are unhappy with how your information is handled.
International service providers
Some providers operate internationally. Dropbox, Automattic and Meta explain that personal information may be processed outside the UK. Their published notices describe transfer arrangements and safeguards, including applicable adequacy frameworks and contractual protections. See Dropbox’s privacy notice and Automattic’s privacy notice and Meta’s privacy policy for details. You can contact us using the details above with questions about the providers used for your information.
